AI quotation agent: what implementation would look like in your B2B company

A customer sends an enquiry. Your salesperson opens a price list, checks availability, finds an earlier quote and asks a colleague which product fits. Considerable administration happens before a useful sales conversation begins. If this sounds familiar, quotation preparation is a practical candidate for an AI agent. The target output is specific: a processed enquiry and a verifiable quotation draft inside the environment your team uses.

AI quotation agent: what implementation would look like in your B2B company

How many quotations are waiting while your team searches for information?

NUMEDIA would begin with your actual process: who receives the request, where prices come from and who approves the final document. The following proposal uses a hypothetical B2B distributor. It illustrates a possible implementation and does not report client results. We could adapt the approach to a manufacturer, wholesaler or business selling repeatable professional services.

    What your salesperson would receive

Imagine an enquiry for twenty units with delivery to two locations. The agent would extract requirements, match the buyer to a CRM record, identify suitable product codes and prepare a draft with pricing references. Missing information, such as an unspecified variant or unconfirmed lead time, would remain visible. The salesperson would begin with the substance of the opportunity instead of copying information between systems.

We would agree the destination before development: a draft in your existing system, a document for review or a prepared sales task. Standard items can follow a different route from engineered solutions. When a request falls outside the catalog, the output becomes an organized handoff to a specialist. A useful system preserves progress even when it cannot yet complete the quote.

    Start with one quotation process

For the first scope, we would choose a product group with usable data and recurring questions. Together, we would examine completed enquiries to distinguish routine decisions from those requiring sales expertise. These cases become a test set and a list of exceptions the implementation must recognize. The project has a defined boundary and an accountable process owner in your company.

Our proposed pilot produces drafts for internal review. Before building it, we agree what makes a draft useful: correct product codes, quantities, current prices and visible gaps. Reviewers need to understand what they are accepting. Once that works, additional categories, languages or steps can be introduced based on observed performance. Expansion follows evidence from your own cases.

Connect your CRM, catalog and pricing into one route

NUMEDIA would map the tools you already use and check their available interfaces. Your CRM may supply buyer and opportunity details, your ERP prices and stock, and your catalog technical attributes. HubSpot’s Deals documentation, for example, describes working with sales opportunities. The actual integration depends on your software, version and available interfaces; naming a platform is not confirmation that your account is ready.

Replacing business software is not an automatic requirement. If an API is unavailable, we assess whether a controlled export is sufficient for the pilot and define acceptable data freshness. An old spreadsheet does not become an authoritative price list because AI reads it. Drafts therefore need an identified source and a record of when the relevant information was checked.

    How everyday work would change

The change should be visible in the working day. Every enquiry gets an owner, every draft a status, and every salesperson a clear next action. The table shows NUMEDIA’s proposed allocation of work. We would agree the operating details with your sales manager and the people who prepare quotations.

Prices and lead times need an authoritative basis

Calculations would follow your price rules rather than creative model output. The same applies to discounts, minimum quantities and special terms. An unconfirmed price or unavailable stock update must be visible in the draft. The salesperson receives a proposal with supporting information instead of an apparently finished document whose claims all need independent investigation.

Anthropic distinguishes predefined workflows from dynamic agent decisions and emphasizes well-designed tools. Applied here, AI interprets the enquiry while business rules govern calculations and tools return verifiable facts. Approval applies to a specific version of a quotation. A changed quantity or price requires another review of the affected part before the document progresses.

What NUMEDIA would deliver and what your team contributes

The proposed engagement covers process mapping, a working specification, connections to agreed sources, quotation draft generation and testing with your sales team. It would also include operating instructions and an exception procedure. The project proposal separates implementation, any licenses, model usage and continuing maintenance so that you can assess the full scope of the investment.

Your contribution is a process owner, sample quotations, pricing rules and someone who can verify product suitability. You do not need a technical specification prepared in advance. Show us how a good quote is produced and where time is lost. If the catalog needs preparation, we first include the subset required for the selected use case instead of assuming the entire catalog is ready.

Estimate value using your own numbers

Illustrative calculation: 120 quotations per month with twelve fewer minutes of administration each would release 24 hours of monthly capacity. These are hypothetical inputs, not NUMEDIA measurements or a savings guarantee. The calculation is 120 × 12 ÷ 60. We would replace the assumptions with your figures and include review time, corrections and maintenance.

Released capacity does not automatically become additional revenue. We would also examine time to the first usable quote, correction rates and opportunity progression. Your team could use the capacity for follow-up conversations. Whether sales outcomes improve requires comparison across comparable opportunities, rather than a claim based only on document speed. Differences in quotation complexity also need to be considered.

How you would make the rollout decision

First establish the baseline: quotation volumes, preparation time and recurring errors. Then test the implementation on cases that were not used to configure it. During a limited pilot, salespeople record useful drafts, correction reasons and missing information. The result is a comparison you can use to decide whether further investment is justified.

At handover, we should be able to demonstrate the full path of a case, including what happens when pricing is unavailable. We also agree who updates rules and where employees report problems. The linked guides explain the underlying design. This article answers the purchasing question: what would actually be introduced into your sales department?

    Send us one representative enquiry

For an initial discussion, describe what you sell, approximate enquiry volumes and the tools involved. An anonymized request and its completed quotation are particularly useful. They help define a feasible first scope, required connections and unanswered questions. The purpose of the conversation is a concrete implementation proposal for your process.

Write “AI quotation preparation” in the contact form and identify the step that currently consumes the most time. NUMEDIA can then scope a project with agreed outputs and success criteria. Reviewing your workflow comes first; a committed scope, timeline and price follow the requirements assessment.

    Frequently asked questions

Do we need a new CRM or ERP?

We first assess the interfaces of your existing tools. Some pilots can use an API connection or controlled export. Any constraints and preparation work are identified before the project is confirmed.

Will the agent send quotations automatically?

In this proposed initial scope, the agent prepares a draft and a salesperson approves the content and sending. Further automation depends on your rules, measured performance and internal authority.

What does an AI quotation implementation cost?

The price depends on systems, catalog quality, document variants and pricing rules. NUMEDIA would scope implementation separately from licenses, usage and continuing support.

What should we provide for an initial proposal?

A process description, tool list and anonymized enquiry with its final quotation. Include approximate workload and identify someone who can verify draft correctness.
